UNITY OF BLOOMINGTON SEEKS PART-TIME CENTER ADMINISTRATOR FOR OUR CENTER FOR SPIRITUAL GROWTH

Job description

Unity of Bloomington is looking for a thoughtful, focused, personable, highly organized person to manage the operations of our Center for Spiritual Growth. The role is part-time at 10-15 hours/week at $14/hr Monday-Friday with an occasional evening/weekend commitment. The commitment for the role is by contract through 12/31/16, or until a permanent Spiritual Ministry Coordinator is hired.

While there is potential for a more expanded scope of work in the future, current responsibilities are focused in two main areas of support:

1. Ensuring that the building and the grounds are in attractive, working order so that we may draw interest from the community to our facility and our services; and

2. Managing the financial business of accounts payable and accounts receivable for the whole of Unity of Bloomington.

Typical responsibilities include, but are not limited to:

Operations

1. Communicate about aesthetic and safety-related facility needs to Board point of contact for Facilities Team. Solicit estimates for facility maintenance needs and send them to the Board for review and approval. Oversee maintenance work completed by contractors.
2. Oversee the work of the housekeeper and grounds keeping contractors. Ensure that the facility is clean and orderly before each event and that renters are clear about their post-event clean-up responsibilities.
3. Track cleaning and kitchen supply use and order supplies as indicated by the housekeeper.

Business Management

1. Establish rental packages depending on the level of additional support desired by the renter. Create and maintain resulting contracts.
2. Serve as host/ess for renters by ensuring all contracted needs (multimedia, kitchen supplies, etc.) are met, and that they have proper access to the building.
3. Collect payment from renters and record and create deposits from rental activity.
4. Create check requests as needed to pay bills; coordinate with the Board to get them signed; and mail once signed.
5. Submit monthly payroll for both Center and Unity Church paid staff.
6. Annually, complete forms for check signing authorization, online bank access, and credit card authorization for new Board of Trustees.
7. Purchase office supplies as needed. Track usage.
8. Review and renew insurance policies annually.

Desired Experience, Competencies, and Availability

a) Actively interested in spiritual growth.
b) Minimum 3-5 years experience working in office management/administrative duties
c) Firm grasp of Microsoft Office programs like Word, Excel and PowerPoint. Working knowledge of Quickbooks is a plus.
d) Fluency with social media tools like Facebook, LinkedIn, and Twitter is a plus.
e) Personable and approachable. Able to interact diplomatically and professionally and represent Unity of Bloomington with poise and professionalism.
f) Strong interpersonal skills and ability to act independently and leverage volunteer resources.
g) Proactive and solutions-oriented.
h) Excellent verbal and listening communication skills.
i) Must be regularly available during the Monday-Friday work week, and be available some evenings/weekends as needed for events.
j) Must have reliable daily transportation
